The Year in Four Movements

Movement I

Beginning-of-Year Setup

August – September

The most logistically dense period of the year. Inclusion norming, sharing IEPs with gen ed teachers by 3pm Friday of week 1, week-1 stay-in-class protocol, BOY assessments, master calendar verification, and sending every meeting invite for the whole year. Get this right and the rest of the year flows.

Movement II

Fall Steady State

October – December

Annual IEP meetings hit their stride. Term 1 progress reports in late October. Triennial reevals begin in earnest. The accommodations spreadsheet gets updated after every meeting. Quietly, you're also tracking which students need spring meetings to honor the May 31 deadline rule.

Movement III

Winter Push

January – March

The ESY eligibility window opens in early January. Term 2 reports finalize by Feb 3. Initial teacher referrals must arrive by end of March. ESY parent outreach begins. Most case managers feel the squeeze hardest in February — multiple deadlines compress into a few weeks. Plan ahead.

Movement IV

Spring Sweep + Year Wrap

April – July

ESY window closes April 1. Decline PWNs go out as families respond. Term 3 reports. The May 31 deadline forces you to hold every IEP/eligibility meeting that's due in Sept-Oct of next year. ESY portfolios for attending students. Term 4 reports in June. Then summer, when ESY runs without you.
